How to Tag and Segment Your Contacts

Let’s face it: not all contacts are created equal. Some are ready to buy, some need nurturing, and others just need a little time.

That’s where tags and segments come in. Think of them as your secret weapons for staying organized and getting the right message to the right person at the right time.

🏷️ What Are Tags?

Tags are simple, flexible labels you attach to contacts to help you group and identify them quickly.
Some examples:

  • Hot Lead
  • Met at Open Day
  • Needs Follow-Up
  • Newsletter Subscriber

You can add as many tags as you like -and even create your own.

📂 What Is Segmentation?

Segmentation takes things a step further by allowing you to filter your contacts based on specific data (like tags, lead status, location, last interaction, etc.). This helps you build Smart Lists or run targeted campaigns with ease.

✨ How to Add Tags to a Contact:

  1. Go to the Contacts tab.
  2. Click on the contact you want to tag.
  3. Scroll to the Tags section and click “Add Tag.”
  4. Type in a new tag or select an existing one.
  5. Click “Save” and that’s it!

🧠 How to Use Tags &Segments Effectively:

  • Follow Up Smarter: Create Smart Lists based on tags like “Needs Call” or “Demo Booked.”
  • Run Targeted Campaigns: Email only your “Open Home Attendees” or “Past Clients.”
  • Track Lifecycle Stages: Use tags like “Lead,” “Client,” “Closed,” or “Cold.”
  • Organize by Interest or Area: For example, “Wellington Buyers” or “Finance Questions.”

🔍 Creating Smart Lists from Tags

  1. Click on Smart Lists in the left menu.
  2. Select your filters; for example: “Has Tag: Hot Lead.”
  3. Save your list, and you’ve got a dynamic group that updates automatically!

🎉 Why This Matters

With proper tagging and segmentation, you’ll:

  • Stay organized
  • Save time
  • Send more relevant communications
  • Close more deals (yep, that too)
