Build smarter, more powerful workflows - your way.
If you’re ready to go beyond the basics and build advanced automations tailored to your exact needs, you’re in the right place.
This guide will walk you through how to create a custom automation using advanced logic, branching, and personalized actions.
🧠 What Can Advanced Automations Do?
With advanced automation, you can:
- Trigger actions based on specific lead behaviour or tags
- Set if/then branches for multiple outcomes
- Auto-assign leads to specific team members
- Launch multi-step follow-ups over days or weeks
- Create lead nurture sequences based on engagement
- Set rules to avoid overlaps or double-ups
It’s your system. Make it work exactly the way you want.
🔨 Step 1: Go to Workflows
- From your dashboard, navigate to Automation > Workflows
- Click the + Create Workflow button in the top right corner
- Choose “Start from Scratch”
- Give your workflow a name (e.g., High-Intent Buyer Follow-Up)
🚦 Step 2: Set Your Trigger
Every workflow starts with a trigger - the event that kicks everything off.
Popular advanced triggers include:
- A form is submitted
- A tag is added
- A lead replies to a text
- A stage in the pipeline is changed
- A contact visits a specific landing page
📌 Tip: You can combine multiple triggers with filters (e.g., “If tag is X AND lead source is Y”).
🧩 Step 3: Add Conditions and Branches
This is where it gets powerful.
Use “If/Else” conditions to create branching logic based on:
- Tags
- Lead score
- Source
- Pipeline stage
- Date/time conditions
- Email open or click activity
🎯 Example: “If contact has tag ‘Buyer - Warm’ → send custom follow-up series” Else → send a general nurture email
⚙️ Step 4: Add Actions
Now it’s time to choose what actually happens. Actions include:
- 📨 Send email or SMS
- 🏷 Add or remove tags
- 👤 Assign to a team member
- 🗓 Start a task or reminder
- 🔁 Enroll in another workflow
- 🧹 Update pipeline stage
- 🧾 Add notes or log activity
You can delay steps by hours/days or add wait conditions like “Wait until email is opened.”
🧪 Step 5: Test and Refine
Before you switch it on:
- Use the Test Contact feature
- Check the Preview Map to see all branches and steps
- Walk through the process with a demo lead
- Save as a draft if you’re still tweaking
✅ Step 6: Turn It On
Once you’re happy with the setup:
- Click “Publish”
- Watch your automation go to work
- Track progress in real-time using the Workflow History
🎉 That’s it! You’ve created a custom automation designed to work exactly how you need it.
